| Imagine an office space cluttered with boxes, folders and envelopes of papers. Imagine that it is your work place. It’s from somebody whom you replaced. You are very excited to start working - until you saw the files and when your new boss told you to get a report done by the person you replaced made sometimes last, last year and is something about a financial update of the company. It would not be surprising anymore if you suddenly lose interest and even contemplate resigning even before you start working, that is if you don’t transfer documents to digital.
Documents are very important materials - there is no doubt in that. However, as the years go and the piles of files go higher and higher, you eventually get lost with everything that you have, and not to mention the tons of paper you used (have mercy on the trees) and the high possibility of damage that your documents are prone to. They could easily be torn, burnt or just succumb to decay. If only there is a way to save and store document files in a more efficient way, organize them in such a way that you do not waste a lot of time just looking for them and be able to share them right away when they are needed.
Now imagine the same office but no clutters. Instead, you have this computer. Then your boss asked you to do the same thing - find a financial update of the company made last, last year and give him a copy. A click here and click there and you already finished the first task given to you!
Maybe you are thinking that converting files to digital would take a lot of effort. You still have to retype them, right? WRONG! The availability of digital technology together with scanning and the available programs that would help you edit scanned files make makes everything e-a-s-y, so long as you know what to do or, if not, you know who to call to do the conversion and archiving for you.
When you transfer documents to digital files, you are doing yourself, the people around you and the environment a big favor. You can save time, save storing expenses, have a more reliable safekeeping procedure and have readily available documents whenever and wherever. In addition, keeping documents in database also means using less paper. Just think of all the trees that you could save and the contribution that you could give to environmental preservation. As cheesy as it may sound, it’s true.
Once you have a digital archive of your documents, you can just easily update them with new files. If you run out of space, you just expand the storage memory that you have and not the office space that you are desperately trying to maximize. Gone are the bulky and dusty file cabinets and you do not need to worry about papers burning, tearing or crumbling. As long as you have a stable storage of you data and a reliable back-up system, your documents would last until a better and new kind of archiving comes in.

What’s worse than having all your memories wiped out? No, not the science fiction concept of memory wipe out, although that’s also a bad situation to be in, but the kind of memory wipe out when you discover one day that most of the photos that you have been keeping for some time got damaged? Or you had your pictures taken for a certain special event and then when you had the pictures developed you found out that the picture quality did not come out right? Will you just throw those pictures away and just hope someday time travel is already available so that you can go back in time to save photos or have your pictures taken properly?
Of course not. Gone are the days when you just accept Why throw them if you can give them a second life?
Thanks to technology, none of those cherished memories need to go to waste and forgotten. If most of the picture is still visible, you can have them repaired. Photo restoration works like giving your photographs a plastic surgery after transferring your pictures to digital.
“My mom got really devastated when she found out that most of her wedding pictures got damaged when her albums got wet. Though she can still see most of the images in the pictures, the photographs did not look good anymore. She was broken for days, like somebody who had experienced a loved one pass away. While she was having trouble accepting the fate of her wedding pictures, I had secretly gotten them before she recovered and finally threw them. I went to a shop that specializes in picture image restoration and had the pictures fixed. Thankfully they were good enough to repair the pictures. On the day of their wedding anniversary, I gave my mom a photo album full of their restored wedding pictures and they came out much better than how they looked like on the day they were developed. Much more, I also saved the pictures in digital so that when she wants to have them recopied, or when they get damaged again, she can easily get the pictures.”
“It was the day I was supposed to have my graduation picture taken but I was not excited at all. My face was still recovering from a sunburn I got from going to the beach a week before. I looked like I had the Australian map etched on my face and no amount of make-up would cover it up. Anyone who would scan our yearbook would surely remember my face – not because its pretty but because it’s funny – and it would forever haunt me as long as every one of our yearbook exists. After our pictures were taken, the photographer told me that I should not worry about my picture. They do not just develop pictures, they also do some repairing for cases such as mine. They can actually make my picture look like as if I had not gone to the beach at all. And true enough, when our yearbook came out, there I was with my smile and none of the ugly sunburn mark.”

You are in the patio, sitting and reminded of your children. All of them have separate, independent lives now. Yeah, you are happy for them but you can’t help missing your children. You always think about them like they were still those little, cute kids that always made your day. Nostalgic, you wanted to do some reminiscing. You decided to get the photos and videos you carefully kept in case you wanted to remind yourself of the good old days. And then, poof! You remember, all of them got destroyed when you moved into your new house.
Ce’st la vie? Of course not! Memories may mostly make up what is in our heads but seeing something about the good old days really makes reminiscing more concrete, thus special. Do something with those, pictures, VHS, negatives, and the likes that you have. Don’t just let them rot. Have them properly put into safekeeping – the kind of safekeeping that would not be easily damaged as how they usually do when you just stack them somewhere in your boxes or cabinets. Have them enhanced by transferring them to digital, and yes can do it!
Digital conversion offers a lot more than the old school memory archiving. Aside from having a more trusted means of saving photos and videos, VHS and photo digital conversion allows you more options: (1) enhance picture and video quality, (2) efficiency in accessing files – share them with more people and update them easily, (3) cut-off expenses, and (4) save storage space (literally).
Enhance picture and video quality
How many times did you feel disappointed when, finally after feeling very excited about the pictures or a video that you took for a very special event, you see any of those catastrophic disasters you get with pictures and videos? In the past, you might have just said, “Well, maybe next time, I’ll just do better.”
Efficiency in accessing files – share them with more people and update them easily
How often do you send pictures or videos to people you want to share those fun memories with? Even if you want to give them all the pictures or videos that you have, you can’t. So, you just pick those that you think is very special and just hope that your friends or relatives could have some time to go over your place and share the pictures and videos that you have. But, then, of course, not all people have the time to do these things with you and you just wish that there is a more efficient way of sharing memories with the people that you care about by transferring videos to digital or transferring photos to digital.
Cut-off expenses
Admit it, the more pictures you have, the more albums you buy – and not just any kind of albums, mind you. They should be something that lasts, thus, expensive to buy and to make. For videos, you make sure you got those containers that ensures safety for all the VHS that you have. You always have fun taking those pictures and taping those home-made videos. Yet, when storage comes in, it gives you headaches. And though you really enjoy adding more pictures and videos to remind you of the good old days, you feel guilty for minding about the storage expense. So, transfer your VHS to digital.
Save storage space (literally)
You do not have to worry where to put your boxes of photo albums and bulky VHS tapes. Save room space or a whole room itself by converting boxes into dvd’s, cd’s or computer memory devices. Just compare three boxes full of photo albums to a thin (not to mention, very portable) CD. Just imagine the big difference in storage space!
With all these, do not wait and have second thoughts. Just say, “Put my photos on dvd.”
Brandon Barchus, an attorney, knows how important efficient and quality safekeeping is when it comes to photos, videos and documents. He has helped companies sort out legal documents in a more efficient way by transferring files to digital. This has cut the whole finding and organizing time-consuming process into a matter of minutes. Aside from legal documents, he also transfers photos to digital and videos, too. |
