Files are important. Yes, they are. Since they are important, we have to make sure that they are kept properly in a kind of safe-keeping that is damage-free and is full-proof. Since it is important, it would be very efficient if they can be reproduced fast and easy. All of these your can guarantee to get if you have your files converted to digital. Digital transfer of files can make your life easier and give you more time and space to maximize your work efficiency.

Since your files will be kept in a computer or in a hard drive, in case of emergencies, you can easily bring ALL your important documents with you. Imagine running in and out for shelves of folders in case of fire, or carrying albums of pictures and boxes of video tapes when the basement gets flooded. And, if the recipient of the file, pictures or video lives far (in the other coast or other continent), you still have to send it as a package and wait for days before you can confirm that it has properly reached its recipient. You do not need to go through these tedious tasks just to have a file reproduced and distributed. Together with the Internet, digital technology has made your lives much easier. What you do is you just copy a file and, if the recipient is near, you just copy it in a disk, or if the recipient lives far, you just send the file through the Internet.
Minimize Cost
You do not need to have a new room made or new sets of shelves bought. All you need is an additional computer or memory and have all the digital files kept there for safe-keeping. And if you really want to make sure that your files won’t be lost, have tow or more computers/hard disks to keep your back-up files. That way, no matter what happens, you will never have to worry about your files being lost of whatsoever. In fact, aside from this option, you can also ask computer experts if you can have more secure ways of keeping files.

| Even though we are already in this world of computers and digital advancements, still a lot of people are reluctant to convert files digitally. Especially among big businesses that have a lot of paperwork to manage, there are some who still stick to the old ways - folders and folders of paper in piles of boxes or endless rows of file cabinets sorted in alphabetical or numerical sorting.
This stubbornness to go with the flow of time could lead to more complexities amidst these old schoolers claiming that the old way is the best way and is more efficient for them. They, unfortunately, do not know how converting files to digital would work wonders on their file management.
Easy access
How does one person look for a file made 5 years ago about a loan done by an employee in a certain department? With paper and all, you still have to go to the file room, find the box or file cabinet where the loans are, look of the type of loan, then look for the department name and then finally the name of the employee. Well, such tedious task that requires much time and effort would have been acceptable 20 years ago - but with all the people rushing and all the piled work load, we simply do not have the luxury of time any more to do the searching or wait for the searching to end. With digital conversion, files are way easier to access. You just click a folder here, a folder there and look for a name and, (drum roll), the file that you want is already there. Let us see if you can do that with boxes and file cabinets.
Easy storage
Instead of big rooms that should expand every year because of the continuous piling of paper work and rows and rows of file cabinets (both of which would amount to A LOT!), you only use a DVD, CD, USB, hard disk or whatever you have (all of which would not occupy a hole room) to store all the date you need once you transfer your files to digital. Instead of having to expand rooms once you run out of space, all you need to do is buy DVD, CD, USB, hard disk or whatever you like with the same space capacity or a higher one and storage upgrade is done.
Much trust-worthy safe keeping
Paper, folders and file cabinets - they are all vulnerable to the wear and tear that things undergo. But with all your files converted to digital, all you need to worry is having as many back-up copies as you can in order to have extra copies whenever the one that you are using gets destroyed. Try doing that with paper!
Faster duplication or file transfer
Need to have your own copy of a file or a co-worker in another country needs to have a copy of a file that you have? Back in the old days, what people did was they photocopied/reprinted/handwritten the files that you needed and have them sent through mail or packages. How many days did it take and how much money was spent for this kind of file transfer/duplication - not to mention the effort that you have to put to accomplish the task. With files transferred to digital, all you need is another click here and there and you are done. It;s much cheaper and much faster.
All of these conveniences apply whether we are talking about small scale of big scale businesses. It even applies for personal uses like the simple storage of photos, videos and the likes. Yes, advancements in technology might be scary for a lot of people because they are new, thus unpredictable. However, these advancements in technology, such as the availability of methods to transfer whatever files we have into digital, were meant to happen in order to make our lives much easier and for us to cope with the changing of times.

| Imagine an office space cluttered with boxes, folders and envelopes of papers. Imagine that it is your work place. It’s from somebody whom you replaced. You are very excited to start working - until you saw the files and when your new boss told you to get a report done by the person you replaced made sometimes last, last year and is something about a financial update of the company. It would not be surprising anymore if you suddenly lose interest and even contemplate resigning even before you start working, that is if you don’t transfer documents to digital.
Documents are very important materials - there is no doubt in that. However, as the years go and the piles of files go higher and higher, you eventually get lost with everything that you have, and not to mention the tons of paper you used (have mercy on the trees) and the high possibility of damage that your documents are prone to. They could easily be torn, burnt or just succumb to decay. If only there is a way to save and store document files in a more efficient way, organize them in such a way that you do not waste a lot of time just looking for them and be able to share them right away when they are needed.
Now imagine the same office but no clutters. Instead, you have this computer. Then your boss asked you to do the same thing - find a financial update of the company made last, last year and give him a copy. A click here and click there and you already finished the first task given to you!
Maybe you are thinking that converting files to digital would take a lot of effort. You still have to retype them, right? WRONG! The availability of digital technology together with scanning and the available programs that would help you edit scanned files make makes everything e-a-s-y, so long as you know what to do or, if not, you know who to call to do the conversion and archiving for you.
When you transfer documents to digital files, you are doing yourself, the people around you and the environment a big favor. You can save time, save storing expenses, have a more reliable safekeeping procedure and have readily available documents whenever and wherever. In addition, keeping documents in database also means using less paper. Just think of all the trees that you could save and the contribution that you could give to environmental preservation. As cheesy as it may sound, it’s true.
Once you have a digital archive of your documents, you can just easily update them with new files. If you run out of space, you just expand the storage memory that you have and not the office space that you are desperately trying to maximize. Gone are the bulky and dusty file cabinets and you do not need to worry about papers burning, tearing or crumbling. As long as you have a stable storage of you data and a reliable back-up system, your documents would last until a better and new kind of archiving comes in.
